Industry-Specific Features

QuickBooks Enterprise is designed for large businesses or small enterprises and starts at $1,481/year or $142/month. You can add payroll, more users, and cloud hosting for additional fees. Compared to QuickBooks Online, QuickBooks Desktop offers more advanced accounting. QuickBooks Desktop also offers different versions of its software for certain types of businesses (construction, nonprofits, manufacturing, etc.).

As far as other add-ons, QuickBooks Online integrates with over 750 business apps and programs — well over twice the number of integrations you’ll find with Desktop. QuickBooks Online offers more features on the go and is a better overall value than QuickBooks Desktop. If you don’t need the advanced features offered by the Desktop plan, the Online version will save you money. QuickBooks Desktop is a good choice if you need specialized features such as inventory tracking or forecasting, and you don’t mind paying more for them.

What stands out most about QuickBooks Online when compared to Desktop is that QBO is cloud-based accounting software. The dashboard does an excellent job dividing all accounting aspects into a flowchart type of view, while the sidebar provides quick access to a list of features. That said, it can feel overwhelming and confusing if you don’t have prior accounting knowledge. It’s designed to foster collaboration between multiple users, facilitating multi-user access to accounting data. Each user has their own login credentials, which can be customized to limit access to sensitive information. There’s also a feature that facilitates inviting your accountant to the platform, so they can have direct access to your data.

The maximum amount of users you can have with a QuickBooks Online subscription is 25 (plus an accountant). If you need more users than that, you can contact QuickBooks Online’s customer support to see if you can create a custom plan with custom user access. Otherwise, you’ll need QuickBooks Desktop Enterprise, which supports up to 40 users. For instance, if you choose the Simple Start plan, you’re the only person who can use the software—apart from your accountant, with whom you can share your business’s account at no additional cost. We also don’t recommend QuickBooks Desktop to Mac users, since there’s just one desktop-based plan for Mac users. This plan, QuickBooks Desktop for Mac, has the same features as QuickBooks Desktop Pro Plus, the most basic desktop-based plan.
